Fiscal Year 2024 Reimbursement Guidelines
Once your requests are received, they will be reviewed by the Automation Committee, and deferred until June of 2024. If sufficient funds are available, reimbursements will be made in the order they were received by MCAP based on the guidelines that follow.
We realize that these devices are essential to running your Court, so while we encourage you to submit your requests for reimbursement prior to purchase, please do not delay purchases that are critical to your business operations.
CMS (CASE MANAGEMENT SOFTWARE) MAINTENANCE & SUPPORT:
Reimbursement requests for monthly or annual software maintenance & support will continue to be the Fund’s priority for reimbursement. We will pay out reimbursement as sufficient funds become available. Please continue to submit your requests in a timely manner – within 90 days of your Municipality’s payment of your vendor invoices.
COMPUTER PURCHASES (DESKTOPS & LAPTOPS):
Due to the Fund’s limited financial resources, computer reimbursements for FY24 will be limited to one computer per Court, desktop or laptop, and the maximum amount reimbursed will be $1,000.
PERIPHERAL PURCHASES (PRINTERS & SCANNERS):
Peripheral reimbursements for FY24 will be limited to one peripheral device per Court, and the maximum amount reimbursed will be $500.
SERVER PURCHASES:
Server reimbursements for FY24 will be limited to one server per Court, and the maximum amount reimbursed will be $2,500.
SUPPLIES & MONTHLY EXPENSE REIMBURSEMENTS (FAX/COPIER, ETC.):
You are welcome to continue submitting these expenses for reimbursement, however, it is unlikely that the Fund will have sufficient funds to cover these expenses.
If you are purchasing more devices than these guidelines, please let us know so we can include that information with the Fund’s future budgeting process.
If you are considering any CMS software purchases or upgrades, please be advised that your Municipality will be responsible for any and all one time charges (licensing/professional services, etc.). One time charges will not be eligible for reimbursement.
Increases to your annual maintenance & support reimbursements will be capped at 15% above your current CMS costs. Your Municipality will be responsible for any increases over the 15% cap – they will not be eligible for reimbursement.
